4. Workflows

Workflows are the heart of the approval system. A workflow is a chain of approval steps that a request must pass through.

How to Build a Workflow

  1. Navigate to Admin Setup > Workflows.
  2. Click "Add New Workflow".
  3. Give your workflow a name (e.g., "Standard Approval" or "IT Hardware").
  4. (Optional) Assign to Department: If you assign a workflow to the "IT" department, any user from that department will automatically use this workflow. If you leave it "Global", it will be used as a fallback.
  5. Click "Create & Add Steps".

Adding Steps

On the "Build" page, you will see a list of "Current Approval Steps". This is where you build the chain.

  • Step 1: Select Supervisor as the approving role.
  • Step 2: Select General Manager as the approving role.
  • Step 3: Select Managing Director as the approving role.

When a request is submitted, it goes to Step 1. When a Supervisor approves it, it automatically goes to Step 2, and so on. The user in the **final step** is the one who will be responsible for dispatching the payment.
